School Year Policy (Minors)

Applies to all kids and junior term programs (following the Canton school year schedule).
By acknowledging at checkout and completing your booking, you confirm you are the parent/legal guardian of the named participant and consent on their behalf. This online acknowledgement replaces a physical signature. Participant contact/emergency details are collected in a separate form/field.
1. Parent/Guardian Consent & Responsibilities

You confirm you are legally authorised to consent for the minor (“participant”).

You ensure all information provided (including emergency contacts and medical details) is accurate and up to date.

You agree that PTI supervision begins at session start and ends at session finish; outside those times, responsibility remains with the parent/guardian.
2. Program Structure & Commitment

Our school-year program is built for long-term growth in skills, confidence, and character.

Enrolment is a) a full-year commitment or b) a term commitment for the dates shown on the program page (typically five terms per year).

PTI may adjust groups or times to ensure appropriate levels and safe ratios. If minimum numbers are not met, we may propose an alternative time/group or an adjusted format.
3. Fees, Invoices & Payment

Payments can be made in full for the entire school year, in instalments, or on a per-term basis.

For the full-year program, invoices are issued in September.

For term programs, invoices are issued at the start of each term.

Refunds are not applicable for personal absences (travel, parties, fatigue, exams, etc.). If a serious illness or injury lasts longer than three weeks, a refund will be issued upon submitting a medical certificate.
4. Attendance, Punctuality & Make-Ups

Arrive ready to start on time.

Make-ups may be offered only when possible, at the coach's/administration’s discretion, and are not guaranteed.
5. PTI Cancellations & Public Holidays

PTI may cancel or reschedule due to weather, facility closure, coach illness, or events beyond our control. If PTI cancels, you’ll receive a reschedule or a credit (no cash refunds unless required by law).

Sessions falling on official public canton holidays will be cancelled as shown on the term calendar.
6. Health & Safety (Parent Consent)

You confirm the participant is fit to take part in tennis and related physical activity.

You agree to inform us in advance of medical conditions, injuries, allergies, or medications and to provide any required care plans (e.g., asthma, anaphylaxis).

Do not attend when the participant has symptoms of a contagious illness.

You consent to basic first aid and emergency care if needed; related costs are the family’s responsibility unless required by law.

You understand sport carries inherent risks; PTI takes reasonable precautions but is not liable for injury or health issues unless due to proven negligence.
7. Safeguarding, Conduct & Equipment

PTI promotes a positive, respectful environment. Bullying, unsafe behaviour, or ignoring coach instructions may lead to removal without refund.

Bring essentials only; PTI is not responsible for lost or stolen items.

Please ensure the participant arrives with: appropriate tennis footwear, comfortable sportswear, a water bottle, and weather-appropriate items (e.g., sunscreen, cap).

New players can use the racquets provided by PTI for up to one month. After this period, they must either buy their own racquet or rent one from PTI.
8. Sports Centre Leysin Facility Rules

Applies to all PTI sessions held at the Sports Centre Leysin. By booking, you agree to follow the venue’s rules. Non-compliance may result in refusal of entry or removal from the session (handled under the Cancellation/No-Show Policy). Please refer to the Sports Centre Leysin Terms & Agreements for more details.
9. Communications

Program updates (scheduling, weather moves, make-up windows) will be sent through the listed channels. Please keep your contact details current and check messages on training days.
10. Trial & Exceptions

New player trial: Depending on availability, a free trial class might be available. Alternatively, new players can opt out within the first two weeks by submitting a written request within 48 hours after the second class. If they choose to opt out, the remaining sessions are cancelled on a pro-rata basis, but classes already attended must be paid for.

Relocation: families moving away may be released from the remaining commitment with reasonable notice and documentation.

Other exceptions are at PTI’s discretion to ensure fairness across the group.
11. Photo & Video Consent

PTI may capture photos/short videos for coaching feedback and promotional use.

If you prefer the participant not to appear, notify us in writing before the session and tell the coach on arrival; we’ll respect your preference.
12. Data & Privacy

We collect only the data needed to run safe, quality sessions and manage bookings. Data is handled in line with applicable laws and PTI’s Privacy Notice.
13. Changes to This Policy

PTI may update this policy periodically. The version shown at checkout at the time of booking applies to that booking.
14. Agreement
-
By completing the online booking, you (parent/legal guardian) agree to this School Year Term Policy, including the Health Policy and Cancellation & No-Show Policy.
